HOUSING POLICY

We strive to provide our guests with a clean, safe, and friendly experience. The following Housing Policy/Rules are industry standards, management, and operational procedures. These Housing Policy/Rules are a part of our housing agreement with you. As our guest, by reading and signing your registration you are agreeing to abide by all our Housing Policy/Rules, terms and conditions, and procedures. These Housing Policy/Rules are presented to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between the Harold & Carmen Poulsen Legacy Housing and the guest. Our Housing Policy/Rules may change from time-to-time, so please check back often.

GUEST ROOM RATE/PAYMENT:
Our facility is free for patients and family members with a valid referral. Please follow this link to have your provider/physician/nurse/social worker/case worker complete the required online form.

We require each guest to complete a credit card authorization form at check-in. The credit card authorization is then shredded upon check-out after close inspection of your room is completed. The authorization is required and if you are unable to provide this, we will not be able to accept you into our facility. All reservations and registration must be guaranteed via authorization with a valid major credit card. We accept Visa, Master Card, American Express, and Discover Card. Pursuant to credit card agreements, credit cards are not valid unless signed by the cardholder. Credit cards must be signed. Cash (USD), foreign currency and/or check will not be accepted to hold the room. All guests are required to present a valid major credit card and government issued photo identification.

RESERVATIONS ARE NOT GUARANTEED:
The Harold & Carmen Poulsen Legacy Housing facility is available on a first come, first serve basis, and availability may change in several hours’ notice. We require all guests to call in advance to ensure availability. If a guest does not check in during check-in hours (2:00 pm – 4:30 pm) and they do not notify the facility of their circumstances, the room may be given away.

Reservations will be held until 4:30 p.m. the day of your scheduled arrival date. If you have not checked in by that time, your reservation will be cancelled for the entirety of your stay, and your room may be given away. Additionally, we will notify your referring provider/facility that you were a NO-SHOW, and we reserve the right to refuse you in the future.

RIGHT TO REFUSE SERVICE:
Harold & Carmen Poulsen Legacy Housing is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) Harold & Carmen Poulsen Legacy Housing has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our facility or may remove a person, who refuses to abide by the reasonable standards and policies established by the State of Montana and the owners for the operation and management of the facility.

Harold & Carmen Poulsen Legacy Housing WILL REFUSE SERVICE OR EVICT A GUEST:
For refusal or failure to pay for damages and/or loss, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with state liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the property for an unlawful purpose; seeks to bring into the facility: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by the Harold & Carmen Poulsen Legacy Housing for the operation and management of our facility.

ADA/HANDICAPPED ROOMS:
There are three ADA friendly guest rooms available on our first floor.

CANCELLATIONS:
Harold & Carmen Poulsen Legacy Housing is not responsible for weather conditions, personal emergencies, or schedule changes. Reservations must be cancelled forty-eight (48) hours in advance, prior to your arrival date. If reservations are cancelled less than 48 hours before the arrival date, we may not re-schedule you.

IMPORTANT CHECK-IN REQUIREMENTS:
Guests must be at least 18 years of age to check-in at Harold & Carmen Poulsen Legacy Housing. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (State driver’s license, passport, etc.) at check-in. A valid, signed, and functioning credit card in the name of the guest registration is required.

EARLY CHECK-IN/PRE-REGISTRATION:
Early check-in is offered based on availability. If you require a guaranteed check-in for arrival prior to 2:00 p.m., please contact our Front Desk staff at (406) 216-8057 to verify availability.

GUEST REGISTRATION:
We require valid contact information from the guest making the reservations including first and last name, address, phone number, and signature. The names of all guests occupying the room must be registered. Information regarding your license plate/car description is also gathered at check-in for security purposes.

RESERVATION AND PAYMENT FOR GUESTS BY PRIVATE THIRD PARTIES:
Generally, third party payment is not permitted. In the case of reserving for a family member or on behalf of a patient, if you will not be physically present at the facility, we require prior completion and approval of a Credit Card Authorization form including a copy of your driver’s license and the front and back of your signed credit card. We require this information to be completed at least 24 hours prior to the guest’s arrival. We must receive the information by fax at (406) 453-0058 and process the approval for your reservations prior to the guest’s arrival. You will be responsible for all damages and loss.

MAXIMUM OCCUPANCY:
Room occupancy requirements are based on fire code/fire safety restrictions. Maximum room occupancy for Queen Suites is five and maximum occupancy for King Suites is three. If you exceed the maximum number of guests allowed, you will be asked to vacate the facility. All additional guests outside of registered patient and one caregiver must be pre-approved prior to entering the room.

FIRE SAFETY POLICY:
The facility is fully equipped with smoke detectors and emergency evacuation plans are available within each guest room binder as well as on the interior of each guest room door nearest the light switch.

IN CASE OF EMERGENCY OR FIRE:
Please notify Front Desk in the event of a fire or other emergency. A map showing emergency exit routes can be found on the interior of each guest room door nearest the light switch.

ROOM KEYS:
Room keys are issued to the registered guest(s). No room keys will be issued to youth under 18 at any time. I.D. is required if you have lost your key and require a duplicate. A $10 fee will be assessed to replace any lost keys. Please return room keys to Front Desk upon check-out.

GUEST AMENITIES:
A laundry room is available on each floor in our Guest Amenities area for guest use outside of our designated housekeeping hours (10:00 am – 2:00 pm). We ask that our guests do not leave laundry unattended or overload the machines. The dryer lint must be cleaned at the end of each dryer cycle. Guests are responsible for providing their own laundry soap and dryer sheets.

An ice machine is located on each floor in our Guest Amenities area and limited ice buckets are available. Please check with the Front Desk for an ice bucket.

A vending machine is available on each floor in our Guest Amenities area. The vending machines are independently owned and operated. If there is an issue with the machine, please notify the Front Desk although the Harold & Carmen Poulsen Legacy Housing is not responsible for refunds or any issues with the machine.

PUBLIC RESTROOMS:
There is one public restroom available on the first floor of the facility and it is ADA friendly and features a shower as well.

PARKING AT OWN RISK:
All vehicle(s) must be listed on the registration at check-in. Parking for registered guest(s) is free. All vehicles are parked at the risk of the owner. Harold & Carmen Poulsen Legacy Housing shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the property. If a vehicle is left in the facility parking lot after the guest has departed without the written consent of the facility, the facility reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on premises.

ENFORCEMENT OF HOUSING POLICY/RULES:
All staff is trained and required to respond to potential violations of our Housing Policy/Rules. Guests who refuse to abide by the reasonable standards and policies established by Harold & Carmen Poulsen Legacy Housing for safety of all guests, staff, owners, property, and the operation and management of the facility will be evicted. In addition, a minimum $300.00 cleaning fee per room will be charged for infraction(s) of our Housing Policy/Rules.

NO ALCOHOL:
The Harold & Carmen Poulsen Housing facility and campus are Alcohol-free. No exceptions.

NO FIREARMS AND WEAPONS:
The Harold & Carmen Poulsen Housing facility and campus are Firearm & Weapons-free. No exceptions.

SMOKE-FREE FACILITY & CAMPUS:
Harold & Carmen Poulsen Legacy Housing is a Smoke-Free Campus. This is to assure the safety, health, and cleanliness of our facility and that it is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture. We do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cooking, cigars, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility.

Guests are encouraged to notify the Front Desk staff immediately if they smell cigarette, marijuana, or other objectionable odors. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others.

CANDLE, INCENSE, ESSENTIAL OILS:
Candle, incense, essential oils (diffusing, vaporizing, etc.) are prohibited. These items and activities will be treated like smoking. A fine assessed, and the guest may be evicted.

NO COOKING, COOKING APPLIANCES, COMBUSTIBLES, OR FIREWORKS:
The safety of our guests, staff and this facility are extremely important to us. Except for the microwave and refrigerator that are provided in rooms, preparation of food in guest rooms by any type of cooking appliances are prohibited. A minimum fee of $300.00 will be charged for cooking in a room, including, but not limited to hot plates, toaster ovens, water heaters, rice cookers, combustible, open flame, barbecue grill, burners, heating appliance, or any other item intended for cooking. Open fires, flames or cooking grills, either charcoal or gas, and fireworks are not allowed anywhere on the housing property or campus. Communal kitchen appliances including stove, microwave, refrigerator, dishwasher, and coffee maker are available during normal business hours (Monday through Friday, 8:00 am to 6:00 pm MST) for all registered guests. Coffee is also available during normal business hours in the common area.

SPECIAL REQUESTS:
We will make every effort to honor special requests such as a specific floor or room number, rollaway beds, cribs, etc. upon your arrival. All special requests are noted on reservations, and we will do our best to accommodate. However, the availability of these items cannot be guaranteed in advance.

A limited number of rollaway beds and cribs are available upon request. Availability is on a first come, first-served basis. Maximum capacity of baby crib or rollaway is one (1) per room. For safety, pillows are not provided for cribs.

ROOM AMENITIES:
Each room will have a mini refrigerator, microwave, and kitchen sink. We provide limited dishes and silverware for guests to use. At times, based on donations received, we can provide shampoo, conditioner, lotion, and other bathroom amenities upon request. If you use any of these items, it is your responsibility to clean and re-store these items before your departure.

FREE Wi-Fi ACCESS:
Access to our Wi-Fi is free for our registered guests. Speak with the Front Desk if you require assistance. Wi-Fi signals are subject to change without notice depending on the room’s location, the status of our Wi-Fi-equipment, and interference from other local wireless signals. Harold & Carmen Poulsen Legacy Housing assumes no liability for guest use.

ADDITIONAL BEDDING:
Extra blankets are in the credenza in each room. If you require additional bedding, please contact the Front Desk.

QUIET HOURS: 9 p.m. to 9 a.m.
If you become aware of a disruptive guest, please contact the security or front desk staff immediately by calling (406) 216-8057 during business hours or for after hours, please call (406) 216-8000. Televisions, voices, or other devices must always be kept at a respectful low level. Doors should be opened and closed quietly. No congregating or running in hallways.

VISITORS:
No visitors after 6:00 p.m. Visitors must sign-in at the Front Desk upon their arrival. The registered guest must accompany visitors at all times. Visitors are not allowed to use guest amenities including the washer/dryer, icemakers, communal kitchen appliances, phone(s), computers, or Wi-Fi. As a registered guest, you are responsible for your visitor at all times.

DO NOT DISTURB AND STAFF/MANAGEMENT ACCESS TO ROOMS:
To provide all our guests with an exceptionally clean and safe experience, we provide housekeeping every Monday and Thursday. We will offer daily check-ins to offer clean towels and empty trash receptacles. Our Housekeeping Staff will honor the door hanger once during a cleaning period indicating that the room is occupied. The Housekeeping Staff is required to enter the room at subsequent times to clean the room, check for safety, and verify the condition of the room. Management reserves the right to enter a room for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Housing Policy/Rules. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Housing Policy/Rule is broken. Law enforcement will be granted immediate access to housing property and rooms of evicted guests.

CHILDREN:
Well-behaved children of all ages are welcomed. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must always supervise them. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the property unsupervised. Children under the age of 13 are not allowed near the fire pit or healing garden area without being accompanied and supervised by their parent/guardian/chaperone.

READING ROOM:
The Reading Room computer is provided for registered guest(s) to check their email, browse the internet, etc. and like activities. Children are not allowed on the computer, nor is it intended for gaming, movies, etc. The Reading Room also has games, DVDs, and books available for all guests to use during their stay at our facility.

FIRE PIT/HEALING GARDEN:
For the safety of our guests and staff, the outdoor areas are closed if the outside temperature drops below 32 degrees. Adult supervision is required for all children under the age of 13. No children under the age of five permitted. No dogs, food, drinks, or smoking is allowed in the area.

BICYCLES/HOVER BOARDS/ROLLER BLADES:
Bicycles, Hover boards, and roller blades are not permitted in guest rooms. Depending on available space, Front Desk staff will be happy to secure these items in our mechanical room. We assume no liability for theft, loss, and/or damage, and you waive any and all such liability.

NO IN-ROOM PARTY:
Harold & Carmen Poulsen Legacy Housing enforces a No In-Room Party Policy to ensure we can protect the facility and our guests at all times. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the premises and will be charged accordingly for any damage and/or loss. Registered guest(s) is responsible for all persons visiting. Non-Registered visitors are only permitted until 6:00 P.M. If found with more “guests” not listed on the Guest Registration Form after 6:00 P.M. your stay will be considered a “party”. You will be ordered to vacate the premises and may be subject to a Guest Disturbance Fee and/or your credit card on file will be charged accordingly.

EARLY DEPARTURE:
Please notify the Front Desk if you intend to check out earlier than your anticipated departure date.

CHECKOUT TIME & PROCEDURE:
Checkout time is 10:00 a.m. Please check out with the Front Desk so that housekeeping may begin cleaning your room as soon as possible. If you require a later checkout, please contact the Front Desk prior to the day of your departure and we will do our best to accommodate your request.

ILLNESS AND EPIDEMICS:
Harold & Carmen Poulsen Legacy Housing reserves the right to refuse accommodations to a guest arriving with a contagious disease. In cases where sickness occurs during the stay, please notify the Front Desk staff. In the case of serious sickness, you may be requested to receive appropriate health care from a nearby healthcare facility. During epidemics we are entitled to employ precautionary measures within our judgment or as required by local authorities. We may charge your room a cleaning fee, as we deem appropriate under these circumstances.

INFESTATION:
The cleanliness of our rooms is extremely important to our guests. If you bring an infestation into your room or onto our premises, we may charge you for all costs and expenses related to the infestation. This includes immediate or urgent response requirements that we deem necessary to address the infestation.

DAMAGE DISCOVERED AFTER CHECKOUT:
Guest rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third-party fees.

HOUSEKEEPING/ROOM INSPECTION:
Housekeeping checks are provided daily between the hours of 10:00 am – 2:00 pm. For longer stays, housekeeping will clean rooms every Monday and Thursday to change sheets and towels and empty trash bins. Rooms are assigned to guests in appropriate condition without any odor. Housekeeping and the Front Desk staff are trained and skilled in identifying the odors from prohibited items. If our investigation concludes that you have smoked in your room, cooked, or brought a prohibited item into our facility, you will be fined, your credit card on file will be charged, evicted immediately, banned from utilizing the facility again, and your referring healthcare provider/facility will be notified.

DAMAGE AND/OR THEFT OF FACILITY PROPERTY:
You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room(s), housing’s premises or property caused by you or any person in your party when staying at the facility during your stay. Should damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the facility’s property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, etc. We will make every effort to rectify any damage prior to contracting with a specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

DAMAGE TO ROOM:
Damage to rooms, fixtures, furnishing, and equipment including the removal of electronic equipment, towels, artwork, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. Any damage to property, whether accidental or willful, is the responsibility of the registered guest for each room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

DAMAGE TO MATTRESSES AND BEDDING:
Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT:
Harold & Carmen Poulsen Legacy Housing reserve the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the facility, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the facility due to their actions and will be evicted from the facility. Depending on the severity of the guest’s actions, law enforcement may become involved at the facility’s discretion. Should the fact that firefighting or detection equipment has been tampered with and it comes to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card accordingly.

LOST & FOUND POLICY:
Harold & Carmen Poulsen Legacy Housing assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value, please call us immediately and we will try to assist you in locating your lost item.

FOUND ITEMS:
Harold & Carmen Poulsen Legacy Housing is not responsible for any item left behind by a guest. However, any item, except for perishable items, left behind by our guests and found after departure by Housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to fourteen (14) days. Records of Lost & Found items are retained for one year. Reasonable effort will be made to notify the guest that an item has been found. Perishable items, underwear, and miscellaneous toiletries will be discarded.

RETURN:
We would be happy to return your lost item(s) to you by United States Postal Service. Your credit card will be charged packaging and postage, plus a $10.00 handling fee. A separate receipt will be mailed to you. Harold & Carmen Poulsen Legacy Housing is not responsible for any items lost or misdirected during shipment by the United States Postal Service. Please contact the USPS Customer Service Department.

TERMS & CONDITIONS:
Harold & Carmen Poulsen Legacy Housing makes its best efforts to ensure that all the information that appears on its website is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free.
